Description

The purpose of the part time role is to provide all aspects of administration of the call centre booking service of the National Driver Offender Retaining Scheme (NDORS) or other driver intervention schemes in Essex. Reporting to the Senior Administrator, answering the telephone and undertaking all aspects of administration of the NDORS schemes as required to facilitate this self-financing delivery area. The working hours will be Monday and Friday 07.30am till 16.00pm, Thursday 08.30am till 17.00pm.


Responsibilities

Deal effectively with enquiries on the telephone, resolving the majority of queries and only referring those of a non-routine nature. Ensure a prompt and courteous service is provided at all times.

To provide efficient administration of the National Driver Offender Retaining Scheme in Essex.

Provide a full range of administration and clerical support as required. Utilise IT systems to monitor the input of client information and produce necessary documentation, recording information and interrogating systems as appropriate. Maintain files and keep records in accordance with policy.

Maintain effective liaison and working practices with Essex Police Staff.

Ensure clients are dealt with expeditiously in order to comply with all necessary time constraints in accordance with Essex Highways directives. This may involve re-allocation of work during busy times to maintain optimum call handling.

Process customer payments by post and telephone.

Maintain liaison with course trainers, dealing with routine matters and referring to the Driver Improvement Manager as necessary.

Prepare and communicate course registers with trainers prior to and at the conclusion of courses. Ensure prompt notification to Essex Police and other service providers of course attendances as required. 

Provide a high level of customer service by ensuring that correspondence is replied to promptly and appropriately deciding on the use of standard template letters and using own initiative. Ensure that correspondence received and any other information is disseminated and actioned appropriately.

Meet deadlines in relation to the work of the Scheme. This aspect will include processing and banking payments.

Provide management data and statistical information in relation to the administration of the Driver Intervention Scheme. Carry out research and assist with the preparation of reports, as required.

Undertake data inputs as required, updating computer and manual files, dealing with routine matters and enquiries as appropriate.

Maintain an effective working environment and regard other welfare. Assist with the training of new staff, in relation to administrative/procedural matters.

Attend meetings and training courses as required.


Skills and Experience

Good communication skills.

Ability to work with a minimum of supervision.

Good general knowledge.

Good time management.

IT literate and have familiarity and experience with MS Office software and database management although training will be given.

It may be necessary from time to time for the post holder to work hours in excess of or differing from the normal stated hours and be on call at bank holidays and weekends.

Demonstrable awareness of all environmental aspects and impacts and waste management.

It may be necessary for the post holder to be training in, and use, new technology as it is introduced into the County Council and Ringway Jacobs activities.
